The brief

Noxtua, Europe’s sovereign and fast-growing Legal AI company with a fully hybrid and distributed team, wanted to bring its people together in person in a meaningful and well-executed way. With employees working across multiple locations, the challenge was to design an offsite that would do more than simply gather people in one place, it needed to strengthen alignment, spark cross-team collaboration, and reinforce a shared sense of identity and purpose, without adding unnecessary complexity for a lean internal HR team.

Equally important, the experience had to be manageable and cost-conscious, delivering high impact without becoming an operational burden.

The ambition was to create a few days during which work and connection naturally intertwined: structured enough to drive focus and alignment, but fluid enough to allow real conversations and shared experiences to emerge. The result was a thoughtfully designed offsite that enabled more than 60 team members to step out of their day-to-day environments and return as a more connected, cohesive, and energised company.

The travel plan in action

We designed a three-day offsite in the Dolomites, combining focused work sessions with time to experience the destination together. The setting played a key role: a mountain hotel with open views across the landscape, offering the right atmosphere for both productive sessions and relaxed moments.

Getting everyone there was part of the challenge. Around 40 participants arrived by plane from different cities within a tight timeframe, all coordinated to match shared transfers to the location. From flights to on-site logistics, everything was handled centrally to keep the experience straightforward for the team.

A key factor behind this was our strong network of local partners. Working with trusted contacts on the ground allowed us to manage every detail reliably and respond quickly when needed, something that makes a real difference in complex setups like this.

The program included a conference day for strategic discussions, a festive dinner, and a guided city tour to bring in a cultural element. Throughout the stay, a guide was available 24/7 to support the group and manage everything on site.

We also made sure that individual needs were fully covered. Dietary requirements, whether no meat, no pork, no nuts, or no lactose, were carefully coordinated with the kitchen, so every guest could enjoy the experience without concerns.

And while planning is key, flexibility matters just as much. One participant’s flight had to detour, which made him miss the group transfer and causing a late-night arrival, at an airport over 250 km away from the hotel. Thanks to our local network, we quickly arranged a private driver, so instead of waiting in an airport lounge, he arrived safely at the hotel and could rest properly for the next day.

The results

The offsite ran smoothly from start to finish, with all participants arriving on time and the full program delivered as planned. More importantly, it gave the team something remote work can’t replicate: real time together.

Across the few days, people connected beyond their day-to-day roles, built relationships across teams, and shared experiences outside of work that strengthened a genuine sense of belonging. The atmosphere was collaborative, relaxed, and energising in all the right ways. As the client put it:

Thank you once again for organizing this trip. It was very successful, everybody loved spending time together, and it helped us grow together as a company and team!

Behind the scenes, the project demonstrates what makes this kind of experience work: detailed planning, trusted local partnerships, and hands-on coordination that turns a complex setup into a seamless experience—even when things inevitably don’t go exactly as planned.

This is exactly what we do best. We combine travel expertise, strong on-the-ground networks, and precise operational delivery to create offsites that actually land with teams. In this case, we were able to secure the best possible rates for 40+ rooms through our partners, while maintaining a high standard of accommodation and experience.

Just as importantly, we took a significant share of the organisational workload off the internal HR team, giving them space to focus on their people instead of logistics. Whether it’s 10 or 100 participants, we know how to make complex setups work—reliably, efficiently, and with attention to every detail.
